# Connecting your email

> Link Gmail, Outlook, Yahoo, iCloud or any IMAP or POP mailbox so messages are matched to the customers they belong to.

Pick your provider and the server settings are filled in for you. You only type host names for a mailbox we do not recognise.

**How you sign in depends on the provider, and it is not a preference:**
- **Gmail / Google Workspace** — sign in with Google, or use an app password if you would rather. Your ordinary Google password will be refused.
- **Outlook / Microsoft 365** — sign in with Microsoft. There is no password option, because Microsoft retired basic authentication for mail apps.
- **Yahoo and Apple iCloud** — an app-specific password, generated in Yahoo's Account Security or at appleid.apple.com. The account password will not work.
- **Any other IMAP or POP mailbox** — the host, port and password your provider publishes.

**POP versus IMAP.** POP downloads a copy and, on most providers, deletes the server's, which makes the message vanish from your phone. IMAP leaves it where it is. Choose IMAP unless POP is all your provider offers. Nothing here ever deletes mail from your server.

**What happens to the password.** It is encrypted before it is stored and only ever decrypted to reach the mailbox. It is never shown again, never in an export, and never in a log.

**Matching to the CRM.** An address on a contact, customer or vendor record matches exactly. An address on the same domain as a customer is offered as a *suggestion*, with the reason shown — and never on a free-mail domain like gmail.com, because otherwise the first customer who used Gmail would collect everybody's personal address.
