# Running payroll

> Four steps — pay period, hours and earnings, preview, submit — with each employee's taxes and deductions shown before anything posts. IntuBu calculates and posts payroll; it does not pay employees or file returns for you.

**Four steps:**
1. **Select period** — *Period start*, *Period end*, *Pay date*, *Frequency* (weekly, biweekly, semi-monthly or monthly) and *Fund from*, the bank account the net pay comes out of.
2. **Hours & earnings** — a grid of employees: Regular, Overtime, PTO, Sick, Holiday, Bonus, Commission and Reimburse. Hours are prefilled from approved time entries in the period — up to 40 a week as regular, the rest as overtime for employees marked overtime-eligible — and reimbursements from approved expense claims. Salaried employees' regular pay is fixed. Change anything before you continue.
3. **Preview** — the totals (*Gross pay*, *Employee taxes*, *Employer taxes*, *Total cash required*) and, per employee, earnings, employee taxes, deductions (pre-tax, post-tax and garnishments), employer taxes and net pay. Warnings flag a negative net pay, a garnishment capped at the 25% legal limit, and state withholding that is an estimate (below).
4. **Submit** — posts the run and shows its confirmation and the tax deposit dates to plan for. Approved time in the period is locked.

**What it does not do.** IntuBu does not move money: there is no direct-deposit file and no cheque printing. Pay employees from your bank, or through your payroll provider, for the net amounts shown. **Posting:** DR wage expense per employee (tagged with their class), DR employer payroll tax expense; CR the bank for net pay, CR **Payroll Liabilities** for taxes withheld, employer taxes and deductions owed. Reimbursements post as an expense.

**Overtime** is paid at 1.5× for overtime hours. The split at 40 hours a week is made when the grid is prefilled; there are no state daily-overtime rules.

**State withholding.** States with a flat income tax are withheld at that state's official rate for the year. States with graduated brackets are withheld at a single blended rate and marked as an *estimate* — check those paychecks against the state's tables or your payroll provider.

**Contractors** are not paid in a run. Pay them as vendors (a bill, a payment or a cheque); those payments feed [1099 preparation](https://intubu.intuitivecapital-dai.com/docs/form-1099).
