How it works
Connect a mailbox under Email & Calendar → Connect accounts. Gmail and Google Workspace use the Gmail API and Outlook / Microsoft 365 uses Microsoft Graph, each through OAuth 2 with PKCE against an OAuth application your organisation registers with Google or Microsoft; other providers, or a mailbox without OAuth, use IMAP or POP3 and SMTP with an app password. Gmail syncs by history id (falling back to a full re-list when Google expires it) and Graph by delta link, so a re-sync never duplicates; every message is de-duplicated on Message-ID and matched to a customer or CRM contact by address, and a thread can be re-matched or linked by hand to a customer, opportunity or case. Mail sent from IntuBu leaves through the same mailbox. Google and Microsoft calendars sync the same way.
Why it matters
Customer conversations about an invoice belong next to the invoice. Reading the mailbox through the provider's own API, rather than a forwarding rule, is what keeps both sides of the thread.
