Reminders and rescheduling

Reminding both sides a meeting is coming, and letting people move it without emailing you.

Booking calendars.

Reminders. Each page carries a list of offsets in minutes — “1440, 60” means a day before and an hour before. Both the invitee and the host get them. Duplicates are collapsed, and anything already in the past when the booking is made is skipped rather than sent late: “your meeting is in an hour” arriving afterwards is worse than nothing.

Reminders stop by themselves if the meeting is cancelled or moved. With no mailbox connected they wait rather than fail, and say so — they go out on the next run once a mailbox exists.

Rescheduling. Every confirmation carries a reschedule link as well as a cancel link. The invitee picks a new time themselves; no email thread, no account.

A move is a move, not a cancel-and-rebook: the original is marked rescheduled, both rows record the chain, the old calendar event and its reminders are withdrawn, and the freed time goes back on offer immediately.

The rules still apply. A reschedule goes through the same path as a new booking, so notice periods, availability and daily caps all hold. Otherwise a reschedule link would be a way around your own diary.

Notice. Each page sets how close to the meeting it can still be moved — four hours by default. Inside that window the invitee is asked to cancel instead, which is honest about what is actually possible at short notice. You can also switch rescheduling off entirely.

Moving one yourself: open the booking under Booking calendars and reschedule it there. The invitee gets a fresh invitation either way.
