Inviting people to your books
Add a colleague, or an outside accountant, and choose exactly what they may do.
Settings → People & access.
Two kinds of invitation, and the screen separates them because the consequences differ.
Someone at your company joins your organisation and sees this company's books.
An accountant or bookkeeper works on your books from their own practice. They keep their own login, and their other clients stay private from you exactly as your books stay private from them.
An accountant can invite the client's own staff too, if the company has given them a role that includes user management — which is a deliberate choice rather than something every bookkeeper gets.
The role decides what they may do. Whatever role you pick is defined by your company, so an outside firm can be given access without being able to write its own permissions over your ledger.
The invitation is emailed through your connected mailbox, and the link is also shown on screen so you can send it yourself. It works once and expires after fourteen days. If the email did not go — usually because no mailbox is connected — the screen says so and offers Resend.
Removing access: take one person out from the list, or use End engagement to remove an entire firm at once. Doing that person by person is how a departed bookkeeper keeps access for years.
You cannot remove or demote the last person with full access — otherwise nobody could manage settings, users or the close.
