Recurring invoices

A saved invoice plus a schedule. Due invoices are created every 15 minutes, as drafts or emailed to the customer, and stop at the end you choose.

Sales → Recurring. Start one from any invoice: More ▾ → Make recurring.

How do I set one up? Open the invoice you want to repeat and choose More ▾ → Make recurring. The template copies the customer, lines, terms, class, location, project, message and memo. From the screen it starts monthly, from today, with no end date, created as a draft. The list shows each template's schedule, next run, last status, whether it auto-sends, and whether it is active.

The schedule options — every n days, weeks, months or years; days in advance; an end after a number of occurrences, on a date, or never; and auto-send — are held on the template and can be set through the API (see API keys). The Recurring screen does not edit them yet.

When it runs. Due templates are checked every 15 minutes — you can see each run under Settings → The automation log: what runs on its own — and Run due templates now does it immediately. Each invoice is dated for its own period; a template that fell behind catches up one period per run rather than stacking several invoices on today's date. With days in advance, the invoice is created that many days before its date (dated the 1st, created on the 25th).

Drafts or emailed. Without auto-send the invoice is created as a draft for you to check and send. With auto-send it is created as sent and emailed from your connected mailbox with the PDF and a View and pay online link, through the outbox — see Emailing an invoice (Save & send). If no mailbox is connected, or the customer has no email address, the invoice is still created and the template's last status says created, not emailed with the reason.

When it ends. After the last occurrence, or once the end date has passed, the template switches itself off and says why.

Charging a card every month. A recurring invoice does not take payment by itself — it bills, and the customer pays through the link. For billing tied to a card on file, see Subscriptions and plans.

Only Scheduled templates are run automatically.
